Administrative Assistant

TITLE: Administrative Assistant

DIVISION:  Outpatient Services   

REPORTS TO:   Clinical Supervisor 


JOB RESPONSIBILITIES:

1.  Performs clerical duties for the department. Types materials requested by the supervisor.

2.  Performs general office functions, including the inventory and the ordering of office supplies

3.  Knows and adheres to policy procedures of the Institute and Unit

4.  Responds with flexibility in cooperation with emergency request, changes of assignments

5.  Maintains record keeping procedures required by department

6.  Greets and assist all employees, clients and visitors in a professional and courteous manner

7.  Maintains confidentiality of all department records in accordance with state and federal regulations

8.  Participates in scheduled activities, attends scheduled staff meetings

9.  Responsible for recording and typing staff meeting minutes

10.  Responsible for composition, editing and proofreading all departmental correspondence.

    REQUIRED KNOWLEDGE, SKILLS AND ABILITIES:

    1.  Knowledge of modern office methods and procedures, filing, telephone techniques and office equipment.

    2.  Ability to deliver service in a way that is responsive, respectful, caring and helpful.

    3.  Ability to maintain confidentiality in accordance with regulatory agencies

    4.  Ability to maintain a good working relationship with all co-workers and the general public.

    5.  Capable of composing correspondence in a clear and accurate manner

    6.  Ability to respect all cultures and ethnic differences

       QUALIFICATIONS:

      Education equivalent to the completion of the 12th grade

      A minimum of five years experience in typing and general office practice preferred

      Working knowledge of computers including Microsoft Word, Excel and Access
